Procedure
1. For groups of 21 passengers or more, please complete this group inquiry form, stating: departure and destination airport, dates of departure and return flights, number of passengers, any other relevant remarks.
2. Within 3-4 working days, we will send you an email with our offer in response to your inquiry. Please note that our offer is valid for a certain period of time only.
3. If you accept our offer, please sign it and return it to us by fax within the specified period. The carriage contract comes into force when you return the completed booking suggestion and on confirmation of booking by Hapag-Lloyd Express. Payment must be made by credit card or direct debit. Please submit us the list of passengers no later than 48 hours before departure (www.tuifly.com/groupnames).
Terms and Conditions - Hapag-Lloyd Express General Terms and Conditions of Group Bookings
1. Validity
Hapag-Lloyd Express General Terms and Conditions for Group Bookings apply to all carriage of passengers and luggage for groups of a maximum of 189 persons (“group booking“) as offered and booked by Hapag-Lloyd Express GmbH, Benkendorffstrasse 22B, 30855 Langenhagen (hereinafter referred to as “Hapag-Lloyd Express”)
2. Carriage Contract / Booking
The carriage contract comes into force on return of the completed booking suggestion (offer) by the customer’s contact person and on confirmation of booking (acceptance) by Hapag-Lloyd Express. Section 2, Sentences 1 – 3 of Hapag-Lloyd Express General Terms and Conditions of Booking and Travel do not apply.
The contact person acts as representative of the group members unless the booking is made for a family. In that case the contact person enters into the carriage contract in his own name on behalf of the individual group members.
3. Contact Person
The entire handling procedure for the booking, including payment, shall be effected with the contact person specified in the offer. The contact person is obliged to provide the group members with all necessary information (e.g. Hapag-Lloyd Express General Terms and Conditions of Booking and Travel (ABRB), Hapag-Lloyd Express Airline General Conditions of Carriage (ABB), flight schedule, flight changes etc.) punctually and in full. All information supplied to the contact person shall be deemed supplied to the other group members.
4. List of Names
A complete list of the names of all group members must be submitted at www.tuifly.com/groupnames no later than 48 hours before departure.
5. Rebooking/Cancellations
Contrary to Section 6 Hapag-Lloyd Express General Terms and Conditions of Booking and Travel which applies to individual bookings, no rebooking (change of flight times, flight date, departure and destination airports, group members – number or identity) is possible for group bookings. If one or more of the group members fails to appear in time for departure, the full group fare is still payable. Additional passages (1- 189 persons) can only be booked separately through the internet, our call centre or through a travel agent, for the valid fare in each case (subject to availability).
6. Refusal to Carry a Group Member
If Hapag-Lloyd Express has legitimate reasons for refusing to carry any group member, that shall not entitle the remaining members to refuse carriage. The full group fare is still payable in that case.
Children aged under 14 shall be carried only if accompanied by a person aged at least 16 who assumes responsibility for the child. Children/adolescents aged between 14 and younger than 16 shall be carried only if a declaration of consent is submitted by the parent or guardian.
The General Terms and Conditions of Carriage shall also apply, unless these General Terms and Conditions of Group Bookings contain an explicit provision to the contrary.
